1. Purpose
This policy defines guidelines for employees who perform work outside the company office. The aim is to maintain productivity, ensure secure access to company systems, protect sensitive data, and establish clear responsibilities for remote work.
2. Scope
This policy applies to all employees, interns who are authorized to work remotely on a full-time.
3. IT Team Responsibilities
The IT team is responsible for:
- Provisioning & Access:
- Providing secure VPN, remote desktop, or other remote access tools.
- Ensuring devices used remotely are configured with up-to-date security patches and antivirus protection.
- Support & Monitoring:
- Offering technical support for remote connectivity issues.
- Monitoring access logs for unusual activity and enforcing security policies.
- Asset Management:
- Maintaining a record of company-issued devices used for remote work.
- Ensuring proper configuration of remote work software and policies.
4. Employee Responsibilities
Employees working remotely must:
- Use company-provided devices and software for official work only.
- Connect to the company network through a secure VPN or approved remote access method.
- Protect sensitive company data and avoid unauthorized sharing.
- Ensure a secure and private work environment to prevent unauthorized access.
- Follow normal working hours unless otherwise agreed with their manager.
- Report any IT issues, security incidents, or suspected breaches immediately.
- Disconnect from company resources when not actively working to conserve bandwidth and maintain security.
5. Security & Compliance Guidelines
- Use strong passwords and enable multi-factor authentication (MFA) where applicable.
- Avoid using public or unsecured Wi-Fi networks for accessing company resources.
- Keep all physical and digital company assets secure while working remotely.
- Do not install unapproved software or applications on company devices.
- Regularly back up critical work files to approved storage locations such as OneDrive or SharePoint.
6. Communication
- Maintain regular communication with team members and managers via Teams or email.
- Attend virtual meetings as required and respond promptly to official communications.
7. Termination or Change of Remote Work
- Upon resignation, termination, or change in role, employees must:
- Return all company-issued devices.
- Remove VPN credentials, remote access configurations, and sensitive data from personal devices (if any).
- Remote work privileges may be revoked at any time if the employee violates this policy.
