Office 365 Apps (Word, Excel, PowerPoint)

1. Introduction

  • Office 365 includes essential productivity applications such as Word, Excel, and PowerPoint.
  • These apps are available on your company laptop and also accessible online through your Office 365 account.
  • Employees must use these official applications for all work-related documentation, reports, presentations, and spreadsheets.

2. How to Access Office 365 Apps on Your Laptop

  • Click the Start Menu and search for Word, Excel, or PowerPoint.
  • Launch the application you want to use.
  • Sign in using your company email ID if prompted.
  • Your files can be saved locally or to OneDrive for secure cloud storage.

3. Accessing Office Apps Online (Web Version)

You can use the web versions of Word/Excel/PowerPoint without installing anything.

Steps:

  1. Open Chrome or Edge browser.
  2. Visit: https://www.office.com
  3. Sign in with your company email and password.
  4. Click on Word, Excel, or PowerPoint to create or edit files online.
  5. Files are automatically saved in OneDrive.

4. Creating and Managing Documents

  • Word – For letters, reports, manuals, meeting notes, templates.
  • Excel – For data analysis, sheets, calculations, dashboards.
  • PowerPoint – For presentations, training decks, project overviews.
  • Always save your files with clear and meaningful names.
  • Use company-approved templates when available.

5. Collaboration Features

Office 365 apps support real-time collaboration:

  • Multiple team members can edit a document simultaneously.
  • Use Share to give access to colleagues (view or edit).
  • Add comments, track changes, and version history to maintain clarity.
  • Use OneDrive or SharePoint for storing shared files.

6. Security & Compliance

Employees must:

  • Avoid sharing files with external users unless approved by management.
  • Use password protection for sensitive Word/Excel files.
  • Do not store confidential data on personal drives or outside Office 365.
  • Report any access issue or suspicious file behavior to IT.
