How to log in to your laptop for the first time

1. Purpose

The purpose of this document is to guide new employees through the secure and correct process of logging into their company laptop for the first time, connecting to company networks, and completing initial system setup. This ensures proper authentication, security compliance, and smooth onboarding.


2. Scope

This guideline applies to:

  • All new employees receiving a company laptop
  • Employees working from office
  • Employees working remotely using VPN
  • IT support staff assisting with onboarding

3. Responsibilities

Employee Responsibilities

  • Follow the instructions for first-time login
  • Change the temporary password immediately
  • Ensure secure use of company credentials
  • Report any login or access issues promptly

IT Department Responsibilities

  • Provide username and temporary password
  • Ensure the device is properly domain-joined
  • Provide VPN access if required
  • Assist with troubleshooting

4. Procedure

A. Understanding Your Login Credentials

  • IT will provide you with a username and temporary password.
  • These credentials are used only for the first login.
  • Once logged in, you must set a new password following company policy.

B. Connecting to the Office Network

To authenticate with the company domain, connect your laptop to one of the following:

  • Office Wi-Fi: Hein+Fricke
  • LAN cable: Available at your workstation

Note: Without network connection, the system cannot validate your first login.


C. First Login Process

  1. Power on your laptop.
  2. On the login screen, enter your company email/username.
  3. Enter the temporary password provided.
  4. You will be asked to create a new password.
  5. Follow password policy:
    • Minimum 8–12 characters
    • Uppercase + lowercase
    • Number + special character
  6. Log in again using your new password.

D. Connecting to VPN (For Remote Employees)

If you are working from home:

  1. Connect to your home internet.
  2. Open the VPN application (OpenVPN) installed on your laptop.
  3. Log in using your company credentials.
  4. Once connected, the laptop will sync policies and authenticate with the company domain.

E. Initial System Configuration

After your first login, the system may automatically:

  • Install security policies
  • Sync company settings
  • Run Windows updates
  • Configure applications (Outlook, Teams, OneDrive, etc.)

Important: Do not turn off the laptop during this process.


5. Troubleshooting & Reporting Issues

Contact IT Helpdesk (support@heinfricke.services) if you face:

  • Incorrect password
  • Account locked
  • “Domain not available” error
  • Unable to connect to Wi-Fi or VPN
  • System not syncing

6. Compliance

All employees must follow this process to ensure:

  • Secure onboarding
  • Proper domain registration
  • Compliance with company IT policies
