1. Purpose

This policy ensures the safety of employees, protection of company property, and prevention of unauthorized access to office premises, systems, and sensitive areas.


2. Scope

Applies to all employees and interns entering company premises.


3. Employee Responsibilities

  • Always wear your company ID card while inside the office.
  • Do not allow unknown individuals to enter (no tailgating).
  • Ensure doors, cabinets, and restricted areas remain closed and locked.
  • Report any suspicious activity to HR/Admin immediately.
  • Keep company assets (laptops, phones, documents) secure at all times.

4. Visitor Management

  • All visitors must be registered at the premises gate.
  • Visitors must be accompanied by an employee at all times.
  • Temporary visitor badges must be returned before exit.

5. Access Control

  • Door access is assigned based on role and approval from HR/IT.
  • Do not share access cards, keys, or PINs with anyone.
  • Lost access cards must be reported immediately for deactivation.

6. Securing Workstations & Assets

  • Lock your screen when stepping away (Windows + L).
  • Store sensitive papers in locked drawers.
  • Do not leave laptops or belongings unattended in open areas.

7. Emergency & Safety Measures

  • Know the emergency exits and assembly points.
  • Follow fire, evacuation, and safety guidelines posted in the office.
  • Report hazards (loose wires, broken access doors, etc.) to Admin.

8. Monitoring & Compliance

  • CCTV monitoring is in place for safety and security.
  • Non-compliance may result in restricted access or disciplinary action.

9. Policy Review

This policy will be reviewed annually or when office security requirements change.


10. Acknowledgement

Employees must sign the Physical Security Acknowledgement Form to confirm understanding and compliance.
