Microsoft Teams – How to use
Appearance
1. Overview of Microsoft Teams
- Teams is a communication and collaboration platform.
- Used for chat, video calls, meetings, and file sharing.
- Accessible via desktop app, web browser, or mobile app.
2. Signing In
- Open the Teams app or visit: https://teams.microsoft.com
- Log in using your company email and password.
- Complete MFA if prompted.
- Activity: Shows notifications and mentions.
- Chat: 1-to-1 or group messaging.
- Teams: Workspaces for departments or projects.
- Calendar: Schedule and join meetings.
- Calls: Voice/video calling and contacts.
- Files: All shared files in chats and teams.
4. Using Chat
- Start a new chat by clicking New Chat.
- Send messages, emojis, GIFs, and attachments.
- Use @mention to notify someone.
- Pin important chats for quick access.
5. Making Calls
- Audio or video call directly from chat or Calls menu.
- Share your screen during a call.
- Mute/Unmute your microphone as needed.
6. Joining and Scheduling Meetings
- Click Calendar → New Meeting to schedule.
- Add participants and meeting details.
- Join meetings from the Join button in Calendar.
- Use meeting controls: mute, camera on/off, share screen.
7. Working with Teams & Channels
- Each Team contains channels (General, Projects, etc.).
- Post updates and share files within channels.
- Use tabs like Files, Wiki, Planner, etc.
8. Sharing Files
- Upload files in Chat or Teams.
- Use SharePoint or OneDrive integration for storage.
- Collaborate in real time on documents (Word, Excel, PPT).
9. Notifications
- Customize notification settings for messages, mentions, and calls.
- Manage in Settings → Notifications.
10. Tips for Better Use
- Use Search bar to find messages, files, and people.
- Set Status (Available, Busy, Do Not Disturb).
- Keep chats and teams organized by renaming and pinning.
